Cancellation & Refund Policy

Effective Date: September 23, 2026

The Forged Phoenix is a DBA of Bate Consulting, LLC, owned by Amanda Bate and located in Oakland County, Michigan. Because appointments, classes, and program sessions are reserved specifically for each client, the following cancellation, rescheduling, and refund terms apply to services offered by Bate Consulting, LLC, DBA The Forged Phoenix.

This policy applies to the following offerings unless separate written terms are provided at the time of purchase:

  • Free 30-Minute Discovery Call

  • Phoenix Rising — $700, six-week program with three private sessions

  • Rise and Reclaim — $1,400, twelve-week program with six private sessions

  • Phoenix Flow Qigong

  • Individual sessions, classes, workshops, digital products, and other offerings

Cancellations and Rescheduling

A minimum of 24 hours’ advance notice is required to cancel or reschedule an appointment or class booking.

Appointments canceled or rescheduled with at least 24 hours’ notice may be moved to another available time without penalty. Rescheduling is subject to availability and is not guaranteed until The Forged Phoenix confirms the new appointment time.

Appointments canceled with less than 24 hours’ notice may be charged in full. If the appointment is part of a prepaid package or program, the session may be considered used and will not be restored or rescheduled.

The 24-hour cancellation requirement also applies to the free 30-minute discovery call. There is no charge for canceling or missing a discovery call; however, repeated cancellations with less than 24 hours’ notice or repeated no-shows may result in The Forged Phoenix declining future discovery-call or service bookings.

Cancellation or rescheduling requests should be submitted using the booking system or by contacting:

amanda@theforgedphoenix.co

A cancellation or rescheduling request is not effective until it has been received by The Forged Phoenix.

Card-on-File Authorization

Where a client provides payment details or authorizes a payment method to be stored by The Forged Phoenix or its payment processor, the client authorizes Bate Consulting, LLC, DBA The Forged Phoenix, and its payment processor to charge that payment method for:

  • Late-cancellation fees;

  • No-show fees;

  • Charges for appointments or sessions forfeited under this policy;

  • Unpaid balances; and

  • Other amounts expressly authorized at the time of booking or purchase.

The client authorizes these charges in accordance with the cancellation, refund, and payment terms provided at the time of booking or purchase.

Clients may request removal of a stored payment method by emailing amanda@theforgedphoenix.co. The Forged Phoenix will process the request within a reasonable period, subject to any requirements of the applicable payment processor and any need to retain transaction records. Removing a payment method does not cancel, reverse, or eliminate charges already authorized, amounts already owed, or obligations arising before the removal request is processed.

If a payment processor stores the card information directly, The Forged Phoenix may be unable to delete the information itself. In that situation, The Forged Phoenix will submit or facilitate the request as appropriate, subject to the processor’s policies and legal recordkeeping requirements.

No-Shows

A no-show occurs when a client does not attend a scheduled appointment or class and does not provide advance notice.

A client who does not attend a scheduled appointment may be charged the full session or class fee. If the appointment is part of a prepaid package or program, the missed appointment may be considered a used session.

A no-show for a free discovery call will not result in a fee. However, repeated no-shows may result in The Forged Phoenix declining future bookings.

Late Arrivals

If a client arrives late, the appointment or class will generally still end at the originally scheduled time so that later appointments are not disrupted.

The full session or class fee may still apply. Time lost because of a late arrival will not be made up, extended, or added to a future appointment unless The Forged Phoenix agrees otherwise in writing.

Emergencies and Extraordinary Circumstances

The Forged Phoenix may consider exceptions to this policy on a case-by-case basis in the event of an emergency or extraordinary circumstance.

Requests for an exception should be submitted in writing to amanda@theforgedphoenix.co as soon as reasonably possible and should include reasonable supporting detail. An exception is granted only when confirmed by The Forged Phoenix in writing.

The decision to grant or deny an exception is within the discretion of The Forged Phoenix. A prior exception does not create a right to an exception in the future.

Cancellations by The Forged Phoenix

If The Forged Phoenix must cancel or reschedule an appointment, the client will be offered another available appointment time.

If a reasonable replacement appointment cannot be arranged, any payment made specifically for that canceled session will be credited or refunded, as appropriate.

Any approved refund under this section will be issued to the original payment method. Refund processing may be subject to the payment processor’s procedures and timing.

Refunds for Individual Sessions

Payments for completed sessions are non-refundable.

Unused individual sessions may be eligible for a refund when the refund is requested before the scheduled appointment, and the request complies with the 24-hour cancellation and rescheduling requirement.

If a refund is approved, it will be issued to the original payment method within 10 business days after approval. The time required for a bank, card issuer, or payment processor to post the refund is outside the control of The Forged Phoenix.

A refund will not be issued to a different payment method unless required by law or approved by The Forged Phoenix in writing.

Packages and Programs

Phoenix Rising and Rise and Reclaim are prepaid programs. Clients are responsible for scheduling and participating in the sessions included in the applicable program within the program period and according to any program-specific terms provided at purchase.

Refund requests for unused portions of prepaid packages or programs will be reviewed on a case-by-case basis unless different refund terms were provided in writing at the time of purchase.

Completed sessions and sessions forfeited because of a late cancellation or no-show are not refundable and may not be restored.

Any approved refund may be reduced by:

  • The value of services already provided;

  • The value of sessions considered used under this policy;

  • Non-refundable payment-processing fees; and

  • Other amounts permitted by the written terms provided at the time of purchase.

Refund requests under this section must be submitted in writing to amanda@theforgedphoenix.co within 14 days after the event giving rise to the request. The request should identify the client, program, purchase date, applicable sessions, requested resolution, and the reason for the request.

The Forged Phoenix will provide a decision within 14 days after receiving a complete refund request. If additional information is reasonably necessary to evaluate the request, the decision period may begin or resume after the requested information is received.

Unless otherwise required by law or stated in separate written program terms, approved refunds will be issued to the original payment method. Refund processing may be subject to the payment processor’s procedures and timing.

FSA and HSA Payments

Clients may elect to use an eligible FSA or HSA payment card where accepted by the applicable payment processor.

The Forged Phoenix makes no representation or warranty that any service, session, program, Qigong class, or other offering qualifies as an eligible medical expense under Internal Revenue Code Section 213(d) or under the rules of a particular FSA or HSA plan.

Determining whether a purchase is eligible for reimbursement or payment is the client’s responsibility and may depend on the client’s plan documents, medical circumstances, account rules, and plan administrator’s decision.

The Forged Phoenix does not provide tax, legal, medical, insurance, or employee-benefits advice. Clients should consult their plan administrator and an appropriate qualified tax professional regarding eligibility.

Digital Products, Classes, and Other Offerings

Digital products, downloadable materials, recorded content, workshops, classes, memberships, special events, and other offerings may have separate cancellation, refund, access, expiration, or participation terms.

When separate written terms are provided at the time of purchase, those terms apply to the applicable offering. If separate terms conflict with this policy, the offering-specific terms control for that offering to the extent permitted by law.

Unless separate terms state otherwise, digital products and downloadable materials may be non-refundable once access has been provided or delivery has occurred.

Phoenix Flow Qigong

Phoenix Flow Qigong includes gentle movement, intentional breathing, meditation, and traditional energy-cultivation practices.

Qigong class bookings follow the cancellation, rescheduling, no-show, and late-arrival terms in this policy unless separate written class terms are provided at the time of booking or purchase.

Participation is voluntary. A client who experiences pain, dizziness, discomfort, or other concerning symptoms should stop participating and seek appropriate professional guidance.

The cancellation and refund terms in this policy do not replace any health, safety, movement, or participation acknowledgment that may be required for a particular class or event.
